A baby shower takes about six weeks to arrange and roughly a tenth of the effort the internet implies. The gap between those two things is where people lose their weekends — to themed decorations nobody remembers, games that make guests uncomfortable, and a guest list that grew because it felt rude to stop. Done simply it is a good afternoon; done maximally it is a wedding with less notice. The Baby Shower Suite covers the invitations, signs and games in one editable set so the admin is not the hard part.

One conversation before any planning, and it decides almost everything else. Three questions, and the answers are frequently not what the host assumed.
- Do you actually want one? Ask properly and leave room for no. Plenty of people find them excruciating and say yes because refusing feels ungrateful.
- Who would you actually like there? Their list, not the list of everyone who might be offended to be left out.
- Anything you would hate? This is the useful one. Guessing games about their body, being made to open every gift in front of a room, surprise guests — people usually have a specific dread and will tell you if asked directly.
Surprises are usually a bad idea
A surprise baby shower asks a pregnant person to be delighted on demand, in front of an audience, on a day they may be exhausted. Telling them the date and letting the details be a surprise gets you the same warmth with none of the risk.
The Six-Week Timeline
Nothing here needs a spreadsheet, but the order matters — the two things with lead times are the date and the invitations, and everything else follows them.
| When | What |
|---|---|
| 6 weeks before | Agree date, guest list and venue with the parent |
| 5 weeks | Send invitations — earlier than feels necessary |
| 3 weeks | Plan food, decide on one or two activities |
| 2 weeks | Chase non-responders, confirm numbers |
| 1 week | Order or make the cake, buy non-perishables |
| 2 days | Fresh food shop, print anything that needs printing |
| On the day | Set up in the morning, then stop |
Five weeks for invitations sounds excessive and is not. Weekend afternoons book up, and the people you most want there — grandparents travelling, friends with small children — are exactly the ones who need notice.
Timing the date itself
Somewhere in the last couple of months before the due date is the usual sweet spot: real enough to feel close, early enough that the parent is comfortable and not at risk of missing it. For a multiple birth or a pregnancy being monitored, earlier is wiser — ask what they have been advised rather than guessing.
What Guests Actually Remember
Three things, and only one of them is usually where the effort goes.
Whether the food was good. It does not need to be a meal. An afternoon with proper cake, something savoury and decent tea is remembered far more warmly than an ambitious spread that ran out.
Whether they had someone to talk to. A baby shower is often the only event where three separate social circles meet — family, old friends, work. Introducing people by something other than their relationship to the parent does more for the afternoon than any decoration.
Whether it felt like the parent. Themed everything tends to erase the person it is for. One or two things that are recognisably them beats a coordinated colour scheme every time.
Decorations are not on that list. They photograph beautifully and are forgotten within a week, which is worth knowing before spending a weekend and a large share of the budget on them.

One or two, chosen for a specific job: getting a room where not everyone knows each other talking. That is the entire purpose.
The good ones can be joined halfway through, ignored completely, and do not single anyone out — a guess-the-due-date card as people arrive, advice cards for the parent to read later, something quiet happening on a side table. The bad ones require guessing the size of a pregnant person's body, or put individual guests on the spot in front of strangers.
Opening every gift in front of everyone deserves a mention of its own. It is traditional, it takes forty minutes, and it is exhausting for the person doing it. Opening a few and thanking everyone properly is a perfectly good version.
Food that survives a hot afternoon
One practical note that saves a host every time: most baby showers happen in the afternoon, often in a warm room, and anything with fresh cream or that needs to stay cold is a liability. Things that sit happily at room temperature for three hours — a traybake, sandwiches made late, cold savouries — mean you are with your guests rather than in the kitchen managing a fridge.
Keeping It Affordable
Most of the cost sits in things that exist for two hours: decorations, disposables, favours. Cutting those is invisible to guests. Cutting the food is not.
Host at home if you can, make it an afternoon rather than a mealtime, and let people bring something when they offer — most will, and refusing on principle just makes it more expensive and more work. Printing your own invitations and signs rather than ordering them is the other reliable saving, and the one nobody notices.
If the wider new-baby budget is the actual pressure, our guide to budgeting for a new baby covers the first-year costs properly, and the New Baby Budget spreadsheet handles the numbers. For the party itself, the printable Baby Shower Planner is the paper version of this checklist, and the birthday party planning checklist covers the same ground for the birthdays that follow.

How far in advance should a baby shower be planned?
About six weeks is comfortable, and the date itself usually wants to sit somewhere in the last couple of months before the due date — late enough to feel real, early enough that the parent is not exhausted or at risk of missing their own party.
Who is supposed to host a baby shower?
Traditionally a friend or relative rather than the expectant parent, largely because the event involves gifts. In practice plenty of people host their own and nobody minds. What matters more is that one person is clearly in charge of decisions.
How long should a baby shower last?
Two to three hours. Long enough for people to arrive, eat, do one or two things together and talk; short enough that a heavily pregnant guest of honour is not sitting in a chair for five hours being looked at.
What do guests actually remember?
Whether the food was good, whether they had someone to talk to, and whether it felt like the parent rather than a themed event. Decorations photograph well and are forgotten within a week — which is worth knowing before you spend a weekend on them.
Do we have to play baby shower games?
No, but one or two do a specific job: they break up a room where not everyone knows each other. Pick things that can be joined halfway through and ignored entirely, rather than anything that puts individuals on the spot.
How do we keep the cost down?
Host it at home, make it an afternoon so it is not a full meal, and let people bring something. Most baby shower spending goes on decorations and disposables that exist for two hours, and reducing those is invisible to guests in a way that reducing the food is not.
