Bookkeeping for Etsy Sellers: Sales, Fees and Payouts

A bank payout is not the same as sales or profit. Keep the underlying transactions, avoid counting fees twice and reconcile the balance before drawing conclusions.

Bookkeeping for Etsy sellers starts with separating sales, marketplace movements and bank payouts. Keep a record of what each transaction represents, with the statement or receipt that supports it. A payout arriving in your bank is not automatically that period's sales or profit.

Give each transaction a clear place

A simple workbook can have an income log, an expenses log and a reconciliation sheet. Record a date, reference, description, amount and supporting document for each entry. Label refunds, fees and transfers separately so that you can see whether money was earned, spent or merely moved.

For UK sole traders, HMRC's record-keeping guidance covers sales, income, expenses and supporting evidence. Your accounting method and business circumstances affect reporting; this example is not a completed tax return.

Why a £90 payout is not £90 of sales

Consider this simplified, fictional payment-account example. It deliberately excludes tax collected by the marketplace, currency conversion, reserves and other adjustments so that the reconciliation is visible. The £10 fee is an invented amount, not Etsy's current fee rate.

Illustrative marketplace balance reconciliation
MovementAmountRunning balance
Opening balance£0.00£0.00
Sale proceeds credited+£100.00£100.00
Marketplace fees charged−£10.00£90.00
Transfer to bank−£90.00£0.00

The bank has received £90, while the example records £100 of sale proceeds and £10 of fees. Recording £90 as sales and then deducting £10 again would leave £80 and count the same fee twice. Equally, recording both the £100 sale and the £90 bank transfer as income would double-count part of the transaction.

Check a real statement without forcing the numbers to fit

  1. Choose one statement period and retain its opening and closing balances.
  2. Record the actual entries shown, including refunds and adjustments.
  3. Match each payout with the corresponding bank transaction, allowing for timing differences.
  4. Reconcile opening balance plus credits minus charges and transfers to closing balance.
  5. Investigate any difference instead of inserting an unexplained balancing entry.

Real Etsy accounts can be more complex than the example. Read the descriptions in your own statements and keep the original export. Ask an accountant how to handle entries you cannot classify, especially tax, currency conversion and cross-period adjustments.

Separate cash reconciliation from profit

The marketplace balance does not include every business cost. Record materials, packaging, postage, software and other costs separately with their evidence. Do not assume a cost is tax-deductible simply because it is entered in a category called “deductible”.

For a separate simplified pricing example, a £20 sale with £8 of all-in costs leaves £12, which is a 60% margin: £12 ÷ £20. Actual percentage-based fees and taxes can change the calculation. Define exactly which costs are included before relying on a margin figure.

Know when a spreadsheet is not the whole system

A spreadsheet can organise records, but it is not automatically compliant filing software. Check HMRC's Making Tax Digital guidance and the requirements that apply to you before choosing a filing workflow. This guide does not establish MTD compatibility for our template.

There is no universal tax reserve percentage suitable for every seller. Use your circumstances, current official guidance and professional advice where needed. Keep business spending decisions separate from a guessed tax allowance.

A manageable review routine

Choose a regular time to attach receipts, classify new transactions and resolve unmatched payouts. The goal is a set of records you can explain, not a dashboard that merely looks tidy. Start with one reconciled period before importing an entire year.

Our Bookkeeping & Profit Dashboard is an optional layout for organising income and expenses. Compare its current features with your needs. For related organisation, see our Self Assessment record-keeping guide.

Questions and answers

Is my Etsy payout the same as profit?

No. A payout is a transfer from the marketplace account. Profit also depends on the underlying income, fees and other business costs.

Should I record a fee again after entering a net payout?

Do not mix net and gross methods in a way that deducts a fee twice. Reconcile the underlying transactions and treat the bank transfer consistently.

Does a spreadsheet automatically meet tax-filing requirements?

No. Check the current requirements for your jurisdiction and circumstances, including any compatible software or digital-record requirements.
